1. Introduction
Welcome to Scarborough Smartbox. These Terms and Conditions outline the rules and expectations for using our website, submitting registration forms, referring a student, and participating in the Smartbox youth program. By accessing this website or submitting any form, you agree to these Terms and Conditions. If you do not agree, please stop using the site immediately.
2. Program Eligibility
Smartbox serves youth ages eleven to eighteen who live or attend school in Scarborough. Participation requires the consent of a parent or guardian for any youth under eighteen. Smartbox may request additional information to confirm eligibility or ensure safety and suitability for the program.
3. Registration and Intake
Submitting a registration form does not guarantee placement. Space is limited and intake decisions are based on program capacity, age group, suitability, and referral pathway.
By submitting the registration form you confirm that all information provided is accurate to the best of your knowledge. False or incomplete information may affect admission into the program.
4. Referrals from Schools and Community Partners
Smartbox accepts referrals from schools, guidance staff, Toronto Police Services Divisions 41 and 43, community agencies, and other approved partners. Referrals must follow each institution’s internal policies including consent procedures where required.
Smartbox may contact the referring party to confirm details that support program fit and youth safety.
5. Program Participation Expectations
Youth and families agree to follow the program rules which include:
- showing respect to staff and peers
- maintaining safe conduct in the gym
- following coach and mentor instructions
- participating in scheduled activities to the best of their ability
Smartbox reserves the right to discontinue participation for conduct that places others at risk, disrupts programming, or violates facility policies.
6. Safety and Supervision
Smartbox staff are trained to support youth in a safe and structured environment. Parents and guardians understand that programs involve physical activity including boxing which carries inherent risk. Smartbox takes reasonable steps to reduce risk but cannot guarantee complete prevention of injury.
Parents and guardians accept responsibility for informing Smartbox of any relevant medical or support needs during registration.
7. Consent for Communication
By submitting a registration form or referral you consent to Smartbox contacting you by phone email or text for purposes related to:
- program intake
- scheduling
- attendance
- consent forms
- support services
- program updates
You may withdraw consent at any time by emailing info@scarboroughsmartbox.ca
8. Photography and Media
Smartbox may request permission to photograph or record participants for program documentation or promotional material. No photos or videos will be taken without a signed media consent form. Media consent is optional and does not affect participation.
9. Website Usage
You may browse this website for information and submit forms as intended. You agree not to:
- attempt to access restricted areas
- misuse forms or provide false information
- attempt to harm or disrupt the website
- copy or republish content without permission
Smartbox may update or suspend the website at any time.
10. Accuracy of Information
Smartbox works to ensure that program information is up to date. However the website may contain errors or changes that occur without notice. Smartbox does not guarantee uninterrupted access or error free content.
11. Privacy and Data Protection
Smartbox collects personal information for the purpose of program registration safety planning academic support and communication. Information may include student details parent or guardian contact information referral information attendance and program progress.
Personal information is stored securely and is only shared with:
- authorized Smartbox and Red Owl Boxing staff
- counselling or tutoring partners who support the youth
- referring schools or agencies when appropriate and with consent
Smartbox complies with all applicable privacy standards including those related to youth information but Smartbox is not a health information custodian under PHIPA.

12. Limitation of Liability
Participation in Smartbox involves physical activity and other program components. To the fullest extent permitted by law Smartbox and Red Owl Boxing are not liable for any injury loss or damage arising from participation in the program or use of this website except in cases of proven negligence.
Parents and guardians accept all inherent risks related to participation.
13. Third Party Links
The website may contain links to third party sites. Smartbox is not responsible for the content privacy practices or accuracy of third party websites.
14. Program Changes
Smartbox may update schedules program components staffing or location as needed to maintain safety and quality. Any significant changes will be communicated to participants and families.
15. Termination of Participation
Smartbox reserves the right to remove a participant from the program if conduct jeopardizes safety violates policies or interferes with program delivery. Refunds are not applicable because Smartbox is a free program.
16. Governing Law
These Terms and Conditions are governed by the laws of Ontario Canada.
